How a file runs

The stages have names, and the names are not ours to invent

“In process” is not a stage. These are, and each one is written to your file on the day it happens.

A visa file is a sequence of things that either happened or did not. A CAS was issued or it was not. Funds were seasoned for twenty-eight days or they were not. There is no room for a progress bar in the middle.

So we do not keep one. Each stage carries the date it was completed, and everything else — where the file is, what is next, whether it is late — is read off those dates.

Which is why you can ring on any working day and be told a stage name rather than a feeling.

Different routes have different sequences — a Canadian study permit passes through a GIC purchase, a UK file does not. The file you open carries the sequence for your route and no other.

What it costs

Three kinds of money, kept apart on purpose

The common complaint in this market is not that agencies are expensive. It is that nobody can tell which part of a quoted figure is a service charge and which part is a government fee payable to anyone.

Our service charge

What the agency earns for doing the work. Agreed in writing before the file opens, and payable in instalments tied to real milestones — not all at the start.

Collected and forwarded

Embassy fees, VFS charges and health cover that we pay on your behalf. It passes through us at cost; the receipt goes on your file.

You pay direct

Tuition deposits, some medicals and any fee the mission takes from you personally. It appears on your quotation so the total is honest, but it never reaches us.

Your quotation lists all three separately, and the total you owe us is only the first two. A fee you pay an embassy directly is shown so the true cost is honest — it never passes through this office.

What happens if the visa is refused?

The refusal notice is read line by line and the reasons are recorded on the file. Where the ground is fixable — a document, a funds gap, an interview answer — we say so and what a second attempt would need. Where it is not, we say that too. Government fees already paid are not refundable by anyone.

Do you guarantee a visa?

No, and neither can anyone else. The decision belongs to the mission. What is promised here is that the file will be complete, lodged on time, and honest — which is the part that is actually in anybody’s control.

How much money do I need to show?

It depends on the country and the course, and it changes. The figure is calculated from the published requirement for your specific route at the time your file opens, and the seasoning period is counted from the date the money lands, not the date you tell us about it.

Can I apply with a previous refusal?

Often, yes. A previous refusal has to be declared — concealing one is far more damaging than the refusal itself. Bring the notice and we will tell you honestly whether a fresh application is worth the fee.

How do I know what stage my file is at?

Ask, any working day, and you will get a stage name and a date rather than “it is in process”. Every step above is recorded against the file the day it happens.
